Job Responsibilities

The Matsuura Parts Support representative is mainly responsible for order intake and providing Distributor support for part orders.  The position also supports the parts department in maintaining and analyzing parts order data and performing various other duties for the parts department as needed.  Responsibilities include, but are not limited to: Provide direct support to Parts Department
  • Communicate via email and phone with Distributors and customers to verify information on parts needed, confirm availability and order status, send estimates, provide order confirmation, and follow-up on estimates and order status as needed
  • Receive and enter customer part orders into company ERP System
  • Generate quotes through company ERP System
  • Communicate with parent company in Japan to verify part information, confirm availability, follow-up on order status as needed, and follow-up on urgent part matters as needed
  • Research part types using company part inventory software and verify the parts are listed on the machine’s bill of materials
  • Process warranty claims following up with Distributors and parent company in Japan ensuring that company procedures and policies are followed
  • Generate spindle quotes using company Spindle Editor
  • Process customer return merchandise authorization and follow up with Distributor and Parts Manager to ensure company policies are followed
  • Receive Purchase Orders into company ERP System and process the orders for shipping following company procedures
  • Update and/or add information into company ERP system such as adding new customers, adding new machine locations, and updating part information as need
  • Send out daily tracking numbers and order status to Distributors as needed
  • Process credit card orders using company payment system
  • Assist maintaining part data analysis, spindle data analysis, and other part reports for quarterly and yearly reviews and as needed
  • Performs other related projects and duties as assigned
Provide additional support to Applications Department
  • Create Purchase Orders for Application Department tools, products, and software as needed
  • Generate quotes for machine post processing software directly for Customers
  • Receive and enter machine post processing software orders in company ERP system
  • Process credit card orders using company payment system
Other/Miscellaneous
  • Assist with planning and Administrative support during company events and trade shows which may require traveling
  • Assist with additional office support tasks and other job duties as needed

Job Skills / Requirements

  • Bachelor’s degree preferred
  • Knowledge of ERP System or ability to learn required; previous Infor Syteline knowledge preferred
  • Ability to multi-task in a busy environment and manage multiple projects simultaneously
  • Excellent technical, communication, and presentation skills as well as the ability to read and interpret drawings and schematics helpful
  • Microsoft Office products knowledge required
  • Should be proficient in Microsoft Excel including running reports, creating charts, and setting up formulas
  • Should be detailed oriented with the ability to maintain and analyze data accurately and timely
  • Candidate must be able to meet the physical requirements of the job
  • Candidate must pass a criminal background check and drug test
